Main Functions: | Support in ensuring the administrative function of the department are in line with the department’s needs, as well as ensure that the centralized tasks of PILS’ administration is efficient in providing other departments and partners with requested assistance. |
Key Responsibilities:
- Assist in the coordination, organization, and delivery of the department’s activities
- Effectively support the staff while ensuring daily organization of office clerical duties
- Ensure appropriate telephone reception and connections, as well as delivery of telephone messages to staff not available to take their calls.
- Collect and record data concerning local/sick leaves, time sheets, and prepare travelling and permissions records accordingly.
- Ensure general filing of documents.
- Receive & keep record of incoming mails of department and be responsible for delivery of correspondences to the respective addresses in reasonable time.
- Support the organization of meetings and ensuring that board/training rooms are properly booked, equipped and ready for use
- Assist the Administration Department in planning of transport for staff of PILS.
- Verification of logbooks, GPS and maintenance of vehicles
- Data entry and stock management
- Assist Administration Department in providing staffs & partners with requested materials
- Support colleagues of the Department in processing requests and purchases while following relevant policies and procedures of PILS
- Provide support for Procurement and daily administrative tasks
- Responsible for cleanliness and neatness of the association
- Any other cognate duties as requested by the Administrative Coordinator

Essential requirements:
- Minimum qualifications – SC and HSC would be an advantage
- Microsoft Office Suite (Word, Excel, Power Point)
- Basic knowledge of Administration and soft skills.
- Good Knowledge of the French and English Language
- At least 2 years of experience of work
Desirable qualities/experience/skills:
- Knowledge in first aid and fire drill
- Strong work ethic
- Interpersonal skills and communication skills
- Teamwork and collaboration skills
- Punctual and through
- Excellent proficiency in office systems software.
